Lift rental with or without an operator? What to choose

When it pays to rent a lift with an operator and when the machine alone: operator licences from UDT (the Polish Office of Technical Inspection), responsibility, cost and safety. How to decide for a specific job.

When you rent a lift you face a choice that looks simple: take the machine alone and operate it with your own people, or order rent with an operator, who will come and do the work from the platform for you. Both options are fully legal and both make sense; the deciding factors are the specific situation: who holds the qualifications, how long the work lasts, what the risk is and what pays off better. Below we explain when each variant works.

The key difference: who operates the machine

Lifts and mobile elevating work platforms are equipment subject to technical supervision (the Office of Technical Inspection, UDT), and their operator must hold the appropriate qualifications. The whole decision turns on this:

  • Rental without an operator (the machine alone) — we deliver a serviceable lift approved for work, and it is operated by your employee, who holds a valid UDT licence for the given category of equipment.
  • Rental with an operator — the machine arrives together with our qualified operator, who carries out the work from the platform. You do not need your own qualifications or have to worry about operation. This option is on request: it is possible when one of our service technicians qualified as an operator is free on that date, so ask when booking.

When to choose rental with an operator

The variant with an operator is the natural choice when you have nobody on the team with current UDT licences, or when the work is short and one-off and it is not worth sending anyone on a course. It also works for tasks that need skill: work at great height, on difficult ground, close to obstacles or lines, where the operator’s experience translates into real safety and speed.

The advantage is convenience and the transfer of responsibility for operating the machine to the contractor: our operator knows the equipment, knows how to set it up on the outriggers, assess the ground and work within the capacity and reach limits. For many one-off jobs (installing advertising, pruning a tree, repairing a façade, replacing lighting) it is the quickest way to get the task done.

When to choose rental of the machine alone

If you have your own operators with UDT licences on site and you work with a lift over a longer period, renting the machine alone is usually cheaper and more flexible. Your team then uses it whenever it is needed, without paying for the operator’s working hours and without depending on their schedule. With longer rentals (weeks, months) the difference in cost can be significant.

This is a typical scenario on hall construction sites, in industrial plants and in companies that regularly work at height and keep trained employees. The machine then becomes a tool of the crew, not a service ordered by the hour.

Responsibility and safety

When the machine alone is rented, the user’s employer is responsible for making sure it is operated by a person with valid qualifications, trained on that particular machine, and for organising safe work at the workstation. We are responsible for the equipment being serviceable, with a current UDT examination and full documentation. When the rental is with an operator, operating the machine is on our side, and you are responsible for organising the site and specifying the scope of work.

Whichever variant you choose, the same rules apply: assessing the ground and stability, working within the capacity and reach limits, using personal protective equipment (a harness with a lanyard on boom lifts) and marking out the zone under the machine. It is worth learning the basics, and our MEWP operator test helps with that.

Which pays off better: how to calculate

There is no single answer, but a simple calculation helps. For short, one-off jobs without your own qualifications rental with an operator is usually cheaper and quicker: you bear neither the cost of a UDT course nor the risk of errors by an inexperienced operator. For longer jobs with your own trained crew renting the machine alone is cheaper, because you pay only for the equipment. The dividing line lies where the cost of the operator’s working hours over the whole rental starts to exceed the cost of training your own employee and operating the machine yourself.

If you are thinking of regular work at height, consider training an employee: we run UDT training courses for MEWP operators, after which your team will be able to operate the machine independently.

Not sure what to choose? Describe the task

We will honestly advise which variant will be more advantageous for you for the specific job, with or without an operator. It is enough to describe what has to be done and where, at what height and for how long, and we will choose the machine and the form of rent and prepare a quote.
